Frequently Asked Questions

Eager to hire a Virtual Medical Assistant but don't know how to start? Let these FAQs guide you.

What makes OurVMA different?

We understand a medical practice's pain points. Most practices do not have the luxury of time or resources to train new Virtual Medical Assistants from scratch. Our Virtual Medical Assistants are not just trained, they also have the EXPERIENCE!

We have Virtual Medical Assistants with years of experience in customer service, insurance verification and prior authorization. This eliminates the need for you to train them in various insurance portals or the process itself. The ability to provide the best customer service especially when dealing with difficult situations during a phone call, the expertise in how U.S. insurance works, etc are skills that requires years of experience aside from training.

Who are your Virtual Medical Assistants?

Our Virtual Medical Assistants (VMA) are dedicated and highly trained individuals from overseas with years of experience related to the U.S. healthcare industry who can help you manage your practice in a more efficient and cost effective manner.

What can your Virtual Medical Assistant do?

Anything that can be done remotely can definitely be done by a Virtual Medical Assistant. Given training, your chosen Virtual Medical Assistant can answer incoming calls, do appointment scheduling and confirmation, procedure scheduling, medication reconciliation, new patient intake, referrals, scribing, insurance verification, prior authorization and many more.

Do your Virtual Medical Assistants have a medical background?

Not all of them. We have Virtual Medical Assistants who are graduates of health-related courses and licensed healthcare professionals. Though several of our Virtual Medical Assistants do not have a medical background, they have years of experience working in insurance companies, DME companies, medical billing companies or doctor's offices that are based in the U.S., making them experts at handling tasks such as appointment scheduling, insurance verification, prior authorization, etc.

Will I be working with the same Virtual Medical Assistant everyday?

Absolutely! You will be working with your chosen Virtual Medical Assistant everyday and this allows them to be familiar with your practice-specific processes and how your practice operates.

What is your pricing?

We charge a nominal one-time recruitment fee at the end of the 30-day trial period. Our pricing model guarantees that your practice can save thousands of dollars long-term. Whether your Virtual Medical Assistant stays with you for 3, 4 or 5 years, we will not charge you for anything else.

We value quality over quantity and we make sure that despite the nominal recruitment fee, your Virtual Medical Assistant gets paid a competitive salary. This in turn increases retention rate for both our Virtual Medical Assistants and clients.

What do I need to set up before hiring a Virtual Medical Assistant?

We strongly recommend that you already have a VOIP phone system in place which your Virtual Medical Assistant can use to make and receive calls. You can also set-up a remote desktop to ensure security. If you do not have one yet, we can also provide you recommendations on what platforms to use.

Do you provide a temporary replacement if our Virtual Medical Assistant is absent?

No, we do not. However, we will provide a PERMANENT replacement if your chosen Virtual Medical Assistant is not working out for your practice for any reason.  In case of any absences, we advise all of our Virtual Medical Assistants to directly notify their practice's contact person ahead of time if they have to be out for any reason. We also make sure that they all have back-up internet connections in case of any internet issues with their primary internet provider.

How is our PHI protected?

We strongly recommend that you set up a remote desktop for added security and make sure that you have HIPAA compliant tools and procedures in place when hiring a Virtual Medical Assistant.

Furthermore, a strict law was recently passed by the Philippine government that prosecutes people who discloses confidential and sensitive information. This is called the Data Privacy Act of 2012 which is similar to HIPAA in the United States. This law holds Philippine citizens accountable for their actions even if they work with a company outside the country and provides coverage to those affected in the United States.
